WHA Together Terms and Conditions

WHA Together
Refer a Friend or Family Member Reward Offer

Full Terms and Conditions

Effective from: 1st Octotber 2026

These Terms and Conditions apply to the WHA Together – Refer a Friend or Family Member reward offer operated by WHA Healthcare.

WHA Healthcare is a trading name of Welsh Hospitals & Health Services Association, a limited company registered in Wales under company number 515135.

1. About the offer

WHA Together allows eligible existing WHA Healthcare policyholders to recommend WHA Healthcare to friends, family members, partners or other eligible adults.

Where all qualifying conditions are met:

· the existing WHA Healthcare policyholder will receive a £20 One4all digital gift card; and

· the new customer, partner or additional adult will receive a £20 One4all digital gift card.

In these Terms and Conditions:

“Referrer” means an existing WHA Healthcare customer with an active and valid WHA Healthcare policy number who makes a referral.

“Referred Customer” means the friend or family member who takes out eligible WHA Healthcare cover following a referral.

“Partner or Additional Adult” means an eligible adult added to an existing policyholder’s cover through the applicable WHA Healthcare policy-change process.

There is no limit to the number of qualifying referrals an eligible Referrer may make.

A reward is not guaranteed simply because referral details have been provided. All conditions set out below must be met.

2. Who can make a referral?

To qualify for a WHA Together reward, the Referrer must:

· hold an active and valid WHA Healthcare policy number when the referral is made;

· remain an active WHA Healthcare policyholder throughout the 30-day qualifying period that starts from the Referred Customer’s or Partner/Additional Adult’s cover start date;

· have all payments or contributions due under their policy up to date at the point eligibility is checked; and

· A policyholder cannot refer themselves.

For a standard referral, the referral date will normally be the date the referred application is received by WHA Healthcare.

For a Partner or Additional Adult addition, the referral date will be the date WHA Healthcare receives the request to add that person.

3. Standard friend or family member referrals

A Referred Customer must:

· apply for eligible WHA Healthcare cover;

· select “Referred by a friend or family member” during the application process;

· provide the requested details about their Referrer;

· have their application accepted by WHA Healthcare;

· successfully start their cover;

· remain actively covered for at least 30 consecutive days from their cover start date; and

· ensure that all payments or contributions due during the qualifying period have been successfully received or otherwise satisfied under the applicable arrangement.

The requested Referrer information may include:

· the Referrer’s name;

· WHA Healthcare policy number; and

· registered postcode.

The information provided must allow WHA Healthcare to identify and validate the Referrer.

The Referred Customer must have the Referrer’s permission to provide their information to WHA Healthcare for the purpose of administering WHA Together.

4. Geographical eligibility

WHA Together is available to people who are eligible to hold WHA Healthcare cover in accordance with the applicable policy terms and conditions.

The Referred Customer must be a UK resident and meet the normal eligibility requirements for the WHA Healthcare policy they are applying for.

Any treatment or healthcare costs claimed for under WHA Healthcare cover remain subject to the applicable policy terms and conditions, including any requirement for treatment to be received in the United Kingdom.

WHA Together does not extend or change the geographical limits that apply to WHA Healthcare cover.

5. Adding a Partner or Additional Adult

An existing policyholder may also qualify under WHA Together where an eligible Partner or Additional Adult is added to their cover.

The existing policyholder can start this process by contacting WHA Healthcare by telephone or email.

They may be asked to provide:

· their name;

· policy number;

· registered postcode;

· the Partner or Additional Adult’s name;

· date of birth;

· email address; and

· telephone number.

The policyholder must ensure that the Partner or Additional Adult is aware that their details are being provided.

The Partner or Additional Adult will be required to provide their own information, declarations and consent where requested by WHA Healthcare.

WHA Healthcare will complete the normal policy-change process and obtain any other information, consent, declarations or payment details required.

The existing policyholder does not need to separately request the WHA Together reward or know about the reward when the Partner or Additional Adult is added.

Where the addition is eligible, WHA Healthcare will record it as part of the WHA Together process.

The Partner or Additional Adult must:

· have eligible cover recorded by WHA Healthcare;

· successfully start that cover;

· remain covered for at least 30 consecutive days from their cover start date; and

· meet the same relevant payment and eligibility conditions as any other qualifying referral.

If all conditions are satisfied following the 30-day qualifying period, the existing policyholder and Partner or Additional Adult will each receive a £20 One4all digital gift card.

6. Employer group customers

Where an existing policyholder receives their WHA Healthcare cover through an employer, the process for adding a Partner or Additional Adult may depend on the arrangements agreed with that employer.

The policyholder may need to contact their employer, HR or payroll team where:

· employer approval is required;

· eligibility is determined by the employer; or

· additional contributions are collected through payroll.

The WHA Together qualifying period starts when the Partner or Additional Adult’s eligible cover becomes active, rather than when the initial request is made.

A Partner or Additional Adult will only qualify where the applicable group arrangement permits their cover and all other WHA Together eligibility conditions are met.

7. Former customers and rejoiners

A former WHA Healthcare customer may qualify as a Referred Customer where:

· they do not currently hold active WHA Healthcare cover;

· three months have passed since their previous WHA Healthcare cover ended before they submit their new application

· they complete a new eligible application or rejoin process;

· their new cover is accepted and starts successfully; and

· all other WHA Together conditions are met.

Their 30-day qualifying period will begin from the start date of their new cover.

8. Referrals from the same household

Friends, family members, Partners and other eligible adults living at the same address may qualify.

Living at the same address does not prevent a reward being paid provided that the person being referred or added meets all other eligibility conditions.

Each qualifying person may only generate:

· one £20 reward for themselves; and

· one £20 reward for the eligible Referrer.

9. When referral details must be provided

For a standard friend or family member referral, the referral must be declared as part of the original application.

A Referrer cannot normally be added after the application has been submitted.

WHA Healthcare may correct an obvious administrative or typing error where the original application clearly demonstrates that a referral was made.

This restriction does not apply in the same way to a Partner or Additional Adult addition. Where an existing policyholder contacts WHA Healthcare to add an eligible Partner or Additional Adult, WHA Healthcare will record the addition under WHA Together as part of processing the policy change.

The policyholder does not need to specifically ask for the reward.

10. The 30-day qualifying period

WHA Together has a 30-day qualifying period. Both the Referrer and the Referred Customer, Partner or Additional Adult must meet the eligibility requirements set out in these Terms and Conditions throughout that period.

The Referrer

The Referrer must hold an active and valid WHA Healthcare policy number when the referral or Partner/Additional Adult addition is made and must remain actively covered throughout the 30-day qualifying period.

The Referred Customer, Partner or Additional Adult

The person joining or being added must remain actively covered for at least 30 consecutive days from their own cover start date.

No reward will be approved before this qualifying period has been completed.

At the end of the qualifying period, WHA Healthcare will check that:

· the Referrer remains actively covered;

· the Referred Customer, Partner or Additional Adult remains actively covered;

· all required payments or contributions have been received;

· the referral or addition is valid;

· the reward has not already been issued;

· there is no other unresolved issue preventing the reward from being paid.

If the qualifying conditions have not been met, the reward will not be issued.

11. Unlimited referrals

There is no maximum number of qualifying referrals that a Referrer may make under WHA Together.

A Referrer may receive a £20 One4all digital gift card for each separate referral that successfully meets all of the eligibility conditions set out in these Terms and Conditions.

Unlimited referrals may include qualifying:

· friend referrals;

· family referrals;

· household referrals;

· Partner or Additional Adult additions; and

· former customers or rejoiners.

Each referral will be assessed separately and must complete the applicable 30-day qualifying period.

Each Referred Customer, Partner or Additional Adult may only generate:

· one £20 reward for themselves; and

· one £20 reward for their eligible Referrer.

The same person, application, policy join or Partner/Additional Adult addition cannot generate the reward more than once.

Although there is no overall referral limit, WHA Healthcare may review unusual referral patterns and request further information where reasonably necessary to confirm that referrals are genuine and that the conditions of WHA Together have been met.

WHA Together is intended for genuine personal, non-commercial referrals. A Referrer must not represent themselves as acting for WHA Healthcare, provide insurance advice, complete another person’s application, collect personal or health information on WHA Healthcare’s behalf, use paid advertising or operate the offer as a commercial referral or lead-generation business.

12. When and how rewards are issued

Once the 30-day qualifying period has been completed, WHA Healthcare will check that the qualifying conditions have been met.

Completing the 30-day qualifying period does not mean the gift card will necessarily be issued or received on the 30th day.

Gift cards will normally be issued shortly after the qualifying period has been completed. This may be a few working days after day 30, particularly where the qualifying date falls on or around a weekend, bank holiday or period when WHA Healthcare is closed.

Rewards will be issued as £20 One4all digital gift cards.

Gift cards will be sent by email:

· to the Referred Customer, Partner or Additional Adult using the email address held for them; and

· to the Referrer using the email address held on their WHA Healthcare record.

Customers are responsible for ensuring that WHA Healthcare holds a valid and current email address.

Recipients should check their spam or junk folders if the email is not received.

Where a reward cannot be delivered because an email address is missing or incorrect, WHA Healthcare may hold the reward until the correct information has been confirmed.

13. One4all digital gift cards

Rewards under WHA Together are provided as One4all digital gift cards and are issued directly by WHA Healthcare.

Once a qualifying reward has been approved, WHA Healthcare will issue the One4all digital gift card to the eligible recipient using the email address held on its records.

The use of a One4all digital gift card is subject to One4all’s current terms and conditions, including any conditions relating to:

· claiming or activating the gift card;

· participating retailers;

· spending the gift card online or in store;

· card balances;

· fees or charges;

· replacement cards; and

· any other restrictions or conditions applied by the gift-card provider.

Your card funds do not expire, although it’s best to spend all the money on your card within 18 months of purchase as, after that, a monthly nominal operational and processing charge of 90p will be deducted from your card until the balance reaches £0.

Recipients are responsible for reviewing and complying with the current One4all terms and conditions when receiving and using their reward.

WHA Healthcare does not control which retailers accept One4all gift cards or any changes made by One4all to the availability, functionality or terms of the gift card after a reward has been issued.

No cash payment, bank transfer, policy discount or other alternative will be offered in place of the One4all digital gift card.

14. Duplicate, inaccurate or abusive referrals

WHA Healthcare may withhold, cancel or recover a reward where it reasonably believes that:

· referral information is false, inaccurate or misleading;

· the same referral or addition has been submitted more than once;

· a reward has already been issued for the same person or change;

· a Referrer has attempted to refer themselves;

· referrals have been manipulated to obtain duplicate or otherwise improper rewards;

· cover has been taken out primarily to obtain a reward;

· fraudulent or abusive activity is suspected; or

· the conditions of WHA Together have otherwise not been met;

· a Referrer has acted or presented themselves as an employee, representative, adviser or commercial introducer for WHA Healthcare;

· paid advertising, organised lead generation or other commercial promotion of WHA Together has been used without WHA Healthcare’s written agreement;

Where WHA Healthcare reasonably believes that a Referrer is misusing, abusing or attempting to manipulate WHA Together, WHA Healthcare may suspend or remove the Referrer from the programme, refuse to accept or reward further referrals from that Referrer, cancel pending rewards while the matter is investigated, and recover any reward obtained improperly.

In serious cases involving misuse, fraud or deliberate abuse, WHA Healthcare may also take any further action available under the applicable policy terms, which may include terminating the Referrer’s cover where WHA Healthcare is entitled to do so and subject to any applicable legal or regulatory requirements.

WHA Healthcare may request additional information where reasonably necessary to investigate suspected misuse or confirm eligibility.

15. Cancellation or ending cover

No reward will be payable where the Referred Customer, Partner or Additional Adult:

· cancels or withdraws before their cover starts;

· has their application declined;

· cancels their cover before completing the 30-day qualifying period; or

· otherwise ceases to meet the qualifying conditions.

The Referrer must also remain actively covered throughout the same 30-day qualifying period.

Where either the Referrer or the Referred Customer, Partner or Additional Adult does not remain actively covered throughout the 30-day qualifying period, neither reward will be payable.

16. Data protection

WHA Healthcare will use personal information collected through WHA Together to:

· identify the Referrer;

· process the application or Partner/Additional Adult addition;

· verify eligibility;

· administer and monitor the programme;

· prevent duplicate or fraudulent rewards;

· issue the digital gift card; and

· respond to queries or complaints.

WHA Healthcare will only use the personal information needed to administer WHA Together and issue the reward.

Personal information will be handled in accordance with the WHA Healthcare Privacy Notice.

Participation in WHA Together does not automatically give WHA Healthcare permission to send unrelated marketing communications.

Where WHA Healthcare receives information about a Partner or Additional Adult from an existing policyholder, WHA Healthcare will provide the relevant privacy information directly to that person in accordance with its data-protection obligations.

17. Changes to or withdrawal of WHA Together

WHA Healthcare may amend, suspend or withdraw WHA Together where reasonably necessary.

Any material change will apply from the effective date communicated by WHA Healthcare.

Unless necessary because of fraud, abuse, legal or regulatory requirements, or circumstances outside WHA Healthcare’s reasonable control, WHA Healthcare would not normally apply a change retrospectively to a valid referral already recorded before the change took effect.

18. Relationship with WHA Healthcare cover

WHA Together is a promotional reward programme and is separate from the terms of WHA Healthcare cover.

Eligibility for, receipt of, or failure to receive a reward does not change:

· policy benefits;

· exclusions;

· premiums or contributions;

· cancellation rights; or

· any other terms applying to the relevant WHA Healthcare cover.

19. Questions, disputes and complaints

If you have a question about WHA Together or believe a reward has not been issued correctly, please contact:
